Tasks

Plan and track work with status, priority, due dates, subtasks and a daily focus list.

Tasks are where you plan and track work. Every task has a title, a status, a priority and — if you want one — a due date. You can break a task into subtasks, and you can put the handful you mean to finish today on a personal list called My Day.

Open tasks from Tasks in the menu.

Creating tasks

Adds work to the list. A new task starts empty, so you can fill in dates and people right away or come back to it later.

How to use it

  1. Click New task in the bar at the top of the screen.
  2. A new, empty task opens. Give it a title.
  3. To rename a task later, click its title in the list and type.

My Day

My Day is your personal list of the tasks you want to get done today. Marking a task for My Day changes nothing about the task itself — no date moves, nobody is notified. It is your own shortlist, and you clear it by unmarking the tasks.

How to use it

  1. In the task list, click the sun icon in the row of the task you want to work on today.
  2. The icon lights up — the task is now on your list for today.
  3. Click My Day in the filter column on the left to see only those tasks.
  4. To take a task off the list, click the lit sun icon again. The task itself stays untouched.

Good to know: a new subtask is put on My Day automatically, so the next step is in front of you as soon as you write it down.

Due dates

The day a task has to be finished. The list shows how many days are left and keeps counting once the date has passed, so work that is overdue stays visible instead of quietly sinking down the list.

How to use it

  1. Open the task and set its date.
  2. The days remaining show in the due column of the task list, under the clock icon.
  3. To push a task back without opening it, drag its row onto one of the postpone buttons that appear while you drag — four hours, one day, seven days, fourteen days, one month or one year.

Priority

Marks how urgent a task is, so the important ones can be pulled out of a long list.

How to use it

  1. Click the priority pill in the task row.
  2. Choose High, Normal or Low. The pill changes colour and the task is saved.
  3. Click Important in the filter column on the left to see only high-priority tasks.

Status

Shows how far along a task is — planned, to do, working on, review, done. The same status decides which lane the task sits in on the board.

How to use it

  1. Click the status cell in the task row and choose a status.
  2. To simply tick a task off, click the checkbox at the start of its row. It then counts as done and drops out of the open-task filters.
  3. Click the board tab above the list to see the same tasks as cards, one lane per status.

Priority

Subtasks

Breaks a task into smaller steps that belong to it.

How to use it

  1. Open the task.
  2. Click Add sub task and type a title.
  3. The subtask is created under the task.

Good to know: a new subtask takes over the parent's priority, dates, status, responsible people and projects, and it goes onto My Day straight away — so you rarely have to fill anything in twice.

Finding the right tasks

A long list is only useful if you can cut it down to what matters now.

How to use it

  1. Type into the search field above the list to filter by keyword.
  2. Use the filters in the left-hand column: My Day for today's list, Working on for what is in progress, Important for high priority, Upcoming for what is planned, All tasks to bring everything back.

Good to know: if the list looks empty, check whether one of those filters is still active — All tasks shows everything again.
