Account, sign-in and navigation

Create an account, join a workspace, sign in, and find your way around the menu.

This chapter covers everything that happens before you start working: creating an account or joining a workspace someone invited you to, confirming your email address, signing in, finding your way around the menu on the left, switching between workspaces, and getting back in when you have forgotten your password.

Creating an account

Sets up a brand-new account and your own workspace in a handful of numbered steps. Everything is checked while you type, so the Next button only lights up when the step is really complete.

How to use it

  1. On the sign-in screen, click Create an account / Join a team at the bottom.
  2. Type your email address and click START. A six-digit confirmation code is sent to that address and the Check your email step opens.
  3. Type the six digits into the Confirmation code field. There is no button to press — the code is checked as soon as the sixth digit is in, and the next step opens.
  4. Give your first and last name, pick a Username and type your password twice. Next stays greyed out until the user name is free and both passwords match.
  5. Type a name into the Teamname field and click Next. With a free name your account and your workspace are created and you are signed straight in.

Good to know: the user name and the workspace name are checked against the server while you type. A red note appears under the field while the name you picked is taken, and Next stays greyed out until you choose another one. A user name is lower case only, at least six characters, and may contain digits, hyphens and underscores.

Good to know: the back arrow in the top left corner takes you one step back, and what you already typed on the earlier step is still there when you return.

Joining a workspace

The short way in when your team already works with Rocketbatch. You get a six-digit code by email, and you do not have to name a workspace — you land in the one you were invited to.

How to use it

  1. On the sign-in screen, click Create an account / Join a team, then Join team!.
  2. Type your email address and the six-digit code from the invitation. As soon as both are filled in, the code is checked and the Tell us your name step opens.
  3. Add your name, a user name and a password, then click Next. Your account is created and the app opens.

Good to know: a wrong code empties the field and asks you to try again. After too many attempts you are sent back to the sign-in screen and have to start again later.

Signing in

Your email address and password open the app.

How to use it

  1. Type your email address and password on the sign-in screen.
  2. Click Sign In. The app opens on your task list with the menu on the left.
  3. If your address is used in more than one workspace, a list headed Please choose your Team/Workspace appears. Click the one you want — it also becomes the workspace the app offers next time.

Good to know: the Sign In button stays greyed out until the password is at least eight characters long.

Good to know: on the desktop the app remembers the workspaces you have used on this computer and signs you back in by itself. You then see a connecting screen with the logo instead of the form. If that does not work, the normal sign-in form comes back so you can type your password.

If the password is wrong, the button shakes and a message says that user name or password is wrong. If the server cannot be reached, the message says there is no connection.

Forgotten password

Gets you back in without help: ask for a code by email, type it, and set a new password.

How to use it

  1. Click Password forgotten? under the sign-in form.
  2. Type your email address and click Reset. A message asks you to stay on the page and check your mailbox, and the next screen opens.
  3. Type the six-digit code from the email. The password fields only appear once all six digits are in.
  4. Type the new password and its confirmation, then click Submit. A message confirms the reset and the sign-in screen opens so you can sign in with the new password.

Good to know: the new password needs upper and lower case letters, at least one number or symbol and at least eight characters. As long as it is too weak, the app shows those rules next to the field and Submit stays greyed out. A green border around a field means the entry is accepted, a red one that it is not.

If no workspace is found for the address you typed, a message says so instead of sending a code.

Your first screen

Signing in opens your task list with the menu on the left, so the first thing you see is the work waiting for you.

How to use it

  1. Sign in. The app opens on your task list.
  2. Use the rows in the menu on the left — Tasks, Appointments, Notes, Contacts, Leads, Projects, Mails — to move to any other part of the app.

The menu on the left

The column that is there wherever you are: a search field over the whole workspace at the top, one row per part of the app, the filters of the part you are in underneath, and a row of buttons at the bottom.

How to use it

  1. Click a row — Tasks, Appointments, Notes, Contacts, Leads, Projects or Mails. That part of the app opens in the middle of the window, its row is highlighted, and the column underneath fills with the filters belonging to it.
  2. To search the whole workspace, type into the Search field at the top and press Enter. A results panel opens with the hits grouped under Contacts, Leads, Tasks, Notes, Projects, Mails and Documents. The magnifier turns into a cross that empties the field again.
  3. Click the bell in the row of buttons at the bottom to see your notifications in a panel on the right. Clearing the panel sets the little counter next to the bell back to nothing; clicking the bell again closes the panel.
  4. Click Start stopwatch in the lower part of the menu to time what you are working on. A Current watches box appears above the button with a running timer; clicking again adds a second watch, and the cross in the corner closes the box.
  5. To give the middle of the window the whole width, click the small panel icon in the window bar above the menu.

Good to know: menu rows carry a counter — unread mails, appointments, open tasks — so you can see what is waiting without opening them.

Good to know: once the menu is folded away it leaves a thin strip at the edge. Moving the pointer onto that strip peeks it open again; clicking the icon while it is peeked keeps it open for good.

The other buttons at the bottom open the browser inside the app, the workflows and the settings.

Pinned menu buttons

The parts of the app you use all day can sit as small icon tiles at the top of the menu, so the long list stays out of the way.

How to use it

  1. Right-click the row you use most and choose Pin. It leaves the list and appears as an icon tile in the block above, three tiles per line.
  2. Rest the pointer on a tile to see its name.
  3. To put a tile back into the list, right-click it and choose Unpin.

Good to know: nothing is pinned to begin with, so on a fresh installation every entry shows as a full-width row. What you pin is remembered for the next time you start the app.

Workspaces

A workspace holds one team's contacts, tasks, projects and mails, and nothing crosses from one to another. The same email address can belong to several of them.

How to use it

  1. Click one of the small dots above the logo at the bottom of the menu to switch workspace. The name above the dots changes, that dot becomes the filled one, and every screen reloads with the other workspace's data.
  2. For the full list, click the Rocketbatch logo in the bottom left corner. The Change workspace panel opens with one entry per workspace, showing its name and the email address you use there; the one you are in is marked Your current workspace.
  3. Click an entry to move to that workspace. The app signs you in there, reloads, and offers that workspace the next time you start.
  4. To set up another workspace of your own, click Create a new workspace at the bottom of the panel — a confirmation code is sent to your address and the sign-up steps start again. Join team! next to it takes an invitation code instead.
  5. To take a workspace off this computer's list, click the bin next to it.

Good to know: the bin removes only the automatic login entry. The workspace and your account in it stay untouched, and you can sign in again at any time with your email address and password.

Good to know: a switch by dot only happens if the server confirms that your account belongs to that workspace. If it does not, nothing changes and you stay where you are.
